Integrated Project Delivery: your whole project in one system
People, documents, tasks and approvals of your project — in one place. No complex setup, no rollout, no special skills: upload your project documents — the system configures itself from them. If you can work with files and email, you already know how to work in easykawa.
Already working in the product
- PDF signing right on a workflow step
- Virtual employees take tasks like colleagues
- AI assistant on your own provider or a free local model
5 systems. 3 months of rollout. $200,000 a year. Sound familiar?
Documents and the system live in two different worlds
The document sits in storage while someone manually re-configures its rules in the software. Changed a procedure? Wait two weeks for an analyst.
Every project stage means another system
Design in one tool, construction in another, handover to the client in a third. At every joint, data gets lost and is carried over by hand.
The system must be fed even with no projects
Servers, an administrator, licenses, support — the costs run all year round, while there was one project and it ended in spring.
What we charge instead: $7 per seat per month, billed monthly. Months with no work are not billed — the price is on this page, right below.
Upload documents — the system works. Change a document — the system reconfigures.
-
Upload
Procedures, specifications, responsibility matrices, standards. Regular Word/Excel/PDF.
-
The system reads and configures itself
From the numbering document it numbers, from job descriptions it grants access, from a procedure it runs approvals, from a matrix it assigns those responsible. The system suggests the settings from the document; they take effect once the document is approved and signed.
-
Work the way you are used to
Documents, folders, tasks and chat. No new concepts.
Documents create documents: a specification creates drawings, drawings create material take-offs, take-offs create orders. Everything is connected and updates itself.
Task management, project control and document control — from day one
The system comes with everything a serious client demands: task management with full history, project control (stages, deadlines, responsibilities) and controlled document management (versions, approvals, signatures). Every action is recorded: who created, who checked, who approved and when. The project runs transparently and traceably by itself — it follows ISO and PMI/PMP practices not because you “tuned it for an audit”, but because the system simply cannot work any other way.
At the tender
The client asks how you will manage documentation and reporting. The answer is to show the system: document control and transparency already work — they are not “to be rolled out after the win”.
During design and execution
Revisions, approvals and responsibilities live in the system, not in email. Audits pass on the fact of work: nothing needs to be “prepared for inspection”.
At handover to the owner
The owner receives not a box of papers but a complete, transparent project archive: every document, decision and approval from day one — with the history of who approved what and when.
Compliance is not a setting — it is how the system works.
Check it in fifteen minutes: open any document and you see its revisions, approvals and signatures. There is no separate audit log, because nothing has to be assembled for an inspection.
Hire a virtual employee for $7 a month — like a regular team member
A virtual employee is not a chat bot. It has a job description, its own knowledge base and tasks in the shared work plan. It reads documents, prepares answers, checks completeness, translates, tracks deadlines — and reports in the same chat where people work. You can replace a virtual employee with a human (or the other way round) at any moment — it is simply a seat on the team.
- Document controller
- Review engineer
- Translator
Project already running? Just upload the current documents
There is no such thing as “project start in the system”. There is only the current state of your documents. No migration, no field mapping, no training.
Project starts — you start. Project ends — take your data and leave. Come back anytime
A typical corporate system must be maintained around the clock: servers, an administrator, license renewals, a “keeper of the system” on staff — even when there are no projects. easykawa needs no upkeep. Setup is so simple that the system is deployed for a project instead of living in the company on its own.
Start
A project appears — work begins the same day. No rollout, no administrator, no training.
Finish
The project is closed — export everything: documents, tasks, decision history. The subscription closes in one click.
Return
A new project six months later? Come back, upload the documents — the system configures itself again. As if you never left.
14 days free, no card. Closing the subscription takes one click, and you export everything — documents, tasks and the history of decisions.
One mechanism — any industry
-
Oil & Gas / EPC
Upload the Design Basis, P&IDs and numbering rules — run drawings, material take-offs and reports from them.
-
Construction
Upload the execution plans, method statements, estimates and codes — run acts, logs and as-built records.
-
Pharma
Upload GMP protocols, SOPs and batch records — run validation reports and release documents.
-
Finance
Upload regulations and compliance policies — run reporting and audit materials.
-
IT
Upload specs and architecture decision records — run QA reports and release notes.
What easykawa has that the ads never show
Everything in one conversation
No notification centre, no bell, no second inbox. Comments on a document, answers from virtual employees, the summary of your day and new assignments arrive in the same conversation where people already work.
The virtual team comes assembled
Oil and gas, construction, software: the roles arrive already filled in — lead engineer, document controller, planner, reviewer, translator. Each has a job description you can read and change, exactly like a person's.
Everyone keeps their own memory
A person uploads the standards they work by; a virtual employee builds up experience as it works. That memory stays in your browser and belongs to the project — it is not poured into a shared cloud.
Why not Jira, SharePoint or Aconex?
| Criterion | Jira/Asana | SharePoint | Aconex/Procore | easykawa |
|---|---|---|---|---|
| Documents configure the system themselves | Jira/Asana no | SharePoint no | Aconex/Procore no | easykawa yes |
| Virtual employees on the team | Jira/Asana no | SharePoint no | Aconex/Procore no | easykawa yes |
| The whole project in one system, not one function | Jira/Asana no | SharePoint no | Aconex/Procore no | easykawa yes |
| Works immediately, no rollout | Jira/Asana no | SharePoint no | Aconex/Procore no | easykawa yes |
| Any industry | Jira/Asana yes | SharePoint yes | Aconex/Procore no | easykawa yes |
Each of them covers one phase or one function. easykawa connects everything.
We are teaching the system to check engineering decisions the way physics does: what is not fixed falls, what intersects is a conflict. A design review will turn from a week of meetings into 30 minutes in a browser. Stay tuned.
Even the database administrator cannot see your rates and contract sums
Every block of a document is encrypted separately (AES-256). The key belongs to your company only. Sign-in through corporate Google/Microsoft accounts, mandatory two-factor protection when your company requires it, and a complete log of actions.

Frequently asked questions
What is easykawa?
One system for a project's people, documents, tasks and approvals. Work is built around documents: you upload your project documents, and the system configures itself from them.
Do I need to install anything?
No. easykawa works in the browser. You sign in with email and password or with a Google or Microsoft account; your company can require two-factor sign-in for its employees.
How much does it cost?
Personal use is free. Team is $7 per seat per month, billed monthly, with a 14-day trial; a virtual employee takes a seat at the same price as a person. Enterprise terms are agreed individually.
Is AI included in the price?
No. You connect your own provider — Anthropic Claude, OpenAI GPT or Google Gemini — or a free local model on your computer or right in the browser. We do not resell AI and do not mark it up.
What is a virtual employee?
A team member who works through AI. It has a job description and tasks in the shared plan, and it answers in the same chat where people work — you call it with an @-mention. It takes a seat like a person, and you can swap it for a person at any time.
Can documents be signed in easykawa?
Yes. A PDF on a workflow step is signed right there: you draw your signature, and a digital signature with the reason and place is embedded in the file. Each signature is saved as a new version of the file, earlier versions are kept, and several people can sign one after another.
How is access to a project organised?
Per participant: every person or virtual employee in a project is an owner, an editor or a viewer. Owners and editors change the content; viewers can only read it.
Our project is already under way. Can we start now?
Yes. Create a project and upload the documents you already have — specifications, procedures, registers. There is no project start to re-create: work continues from the current state of your documents.
Which industries is easykawa for?
Any work that runs on documents. Right now a ready-made set of virtual employee roles exists for software development.
